Part-Time/Semi-Seasonal (Hourly Position)
QUALIFICATIONS & SPECIAL SKILLS:
An energetic, conscientious, organized, and detail-oriented individual who enjoys making a difference, being part of a team and taking pride in their career is key in hosting guests at Venue3Two, ensuring a quality experience before, during, and after events.
Communication Skills: Being able to talk, as well as listen, to guests, vendors, and co- workers in a professional and cordial manner. Guest service and interpersonal skills are imperative.
Composition Skills: Being able to remain calm and composed in the high pressure of the event business, always poised, polished and professional.
Clarification Skills: Being able to problem solve and provide clarity to a situation or event, as well as with staff relations.
Cleanliness Skills: Being able to assess the overall presentation of the Venue, ensuring that Vendors and Guests leave the Venue in a proper state before, during, and after an event.

Hosting Events:
Arrive early to ensure set up and cleanliness. Receive vendors and welcome guests. Manage the needs of the event as they arise (i.e. bathroom check, incidentals, etc.) Assist the Coordinator/Day Of Coordinator during the event with various tasks ranging from decor set-up to timeline management. Ensure Venue3Two policies are adhered to by all guests and vendors. Assist at the end of the event with the guest and vendor departure, ensure building readiness for the next day, locking up as it is finished.
Attended all staff meetings and in-house training as needed.
Special Events/Projects:
Providing team support for Special Events/Projects, as needed.
B O O K I N G C O O R D I N A T O R - Maternity Leave Coverage
Part-Time (Hourly Position), Hybrid
**This position is a temporary position to cover for current employee who will be going on maternity leave- position will be 3-4 months only
QUALIFICATIONS & SPECIAL SKILLS:
We are seeking a strong hospitality focused communicator who is detail-oriented, self motivated, and customer-focused to fill in during our Booking Manager maternity leave. This individual will oversee client leads, bookings, sales, and contracts. They will manage our tour, event, and client calendar assisting leadership with daily operations as it pertains to our bookings and client interaction. This role involves administrative responsibilities as well as managing inquiries, guiding clients through the booking process, and ensuring a seamless experience from initial contact to event execution. .
Communication Skills : Must possess excellent verbal and written communication skills to effectively engage with clients, vendors, and team members. Providing excellent guest service and interpersonal conflict resolution skills are imperative. Hospitality and sales are at the forefront of this position.
Self-motivated: Must be able to manage details and meet deadlines and tasks in a timely manner. See problems before they arise and bring solutions to the table.
Computer Skills : Being proficient in computer skills is necessary, including but not limited to Google Software, TripleSeat, Prismm and other programs for Venue3Two communication, scheduling, and organization.
Organization Skills : Keeping accurate records of client contracts, payments, and event details to ensure nothing is overlooked. Maintaining well-structured digital and physical files for various venue documents.
Process Efficiency: Implementing and following efficient systems for tracking bookings, payments, and event logistics to ensure smooth operations. Prioritizing tasks effectively, managing multiple bookings simultaneously, and meeting deadlines for contracts, payments, and event preparations.
Crew & Event Skills: Being able to set up/tear down tables and chairs, with the ability to lift up to 40lbs. Willingness to perform tasks not directly related to role.

Manage Leads, Inquiries & Client relations:
Schedule venue tours, and maintain client and lead relations to secure bookings. Maintain client records and contracts and payments, ensuring all details are accurately documented and processed in a timely manner. Process payments, checks, and invoices in coordination with leadership.
Administrative Support:
Handle administrative duties, including answering phones, collecting mail, and managing catering files, contracts and commissions. Tending to day to day tasks as needed in office setting.
Software Management:
Manage TripleSeat software updating systems, tasks, reports, and processes for the company ensuring our clients are receiving the most up to date information and our software is streamlined across company usage. Run reports for tracking sales performance and contributing to efforts to maximize bookings.
Special Events/Projects:
Assist with special events and projects by providing team support brainstorming ideas, and implementing company additives as needed.

SPECIFIC ROLES:
Maintaining Guest Relations Pre- and Post-Events:
Welcome and assist guests as they prepare for their events. Receive emails/phone calls from guests, as needed. Provide tours and walk-throughs prior to their event. Provide floor plans, banquet event orders, and event forms, as needed. Host a final walk-through prior to their event, ensuring the Venue3Two policies in the contract, as well as the banquet event order, are explained and understood and the client’s event is set for success. organize
Venue Coordination:
Arrive early to ensure set up and cleanliness. Receive vendors and welcome guests. Manage the event's needs as they arise (i.e. bathroom check, incidentals, etc.). Manage the Event Staff during the event. Ensure Venue3Two policies are adhered to by all guests and vendors. Assist at the end of the event with the guest and vendor departure, check out with vendors and supporting staff, ensure building readiness for the next event, locking up as it is finished.
Day-of Coordination:
Host meetings with clients to assist with event details 3 months out from the wedding day. Aid in helping the client take the details that they have gathered and execute this in our space. Create and manage client timelines to ensure the event runs smoothly. Coordinate with vendors throughout the duration of the event to make sure the event runs to clients’ specifications. Manage a team of assistants to set up and tear down decor and various event details according to guests' vision. Manage ceremony details for rehearsal and on the wedding day. Problem solve and care for various event details so the client can enjoy their event. Be of service to the client to create an overall stress-free and smooth experience before and during their wedding day.
